Residential Conveyancing Secretary/Support

Base: Mathew Street, Liverpool

Main Job Purpose:

To provide a total support service to the fee earners in the property department to enable them to operate at optimum efficiency, including but not limited to the main responsibilities given below. A high degree of self-management and initiative is expected.

Duties and Responsibilities

  1. Document production including undertaking digital dictation.
  2. Acquiring searches and preparing contract packs, submission of SDLT, updating lender portals and assisting with HM Land Registry applications and requisitions
  3. Assisting in communication with clients, estate agents and legal representatives.
  4. To undertake administration duties associated with file management, updating and the operation of the case management system
  5. To attend clients on the telephone and to provide such communication in a professional and friendly manner in keeping with the Practice’s standards for client care and service.
  6. To carry out all duties within a timely manner and adhere to any time restraints given, where practicable.
  7. To adhere to the requirements of the CQS Standards and accreditation.
  8. To undertake any specific training when required, keeping to the timescale given and take responsibility for own self-development
  9. To ensure the confidentiality of all Practice and client documentation and information.
  10. To have the ability to be flexible and assume new responsibilities as and when required.
  11. To promote the Practice when and where necessary.
  12. To maintain professional standards at all times.
  13. To provide support to other members of the Property Client Support Teams as required.
  14. To provide guidance to junior members of the team.
  15. To follow any procedures set by the Team Leader
  16. To carry out any other duties and responsibilities that may be required by the Team Leaders, Directors, Head of Department or Chief Operating Officer.

Conveyancer/Paralegal

Base: South Liverpool –to cover Penny Lane and Garston offices

Main Job Purpose:

  • To undertake fee earning work for property clients
  • To act as an in-house locum to cover absences of other fee earning staff.

Duties and Responsibilities:

  1. Fee Earning Work
    1. Manage a caseload of conveyancing matters, including purchase, sale, re-mortgage and transfer of equity.
    2. Manage all client work in accordance with procedures and quality standards contained within the Office Procedures Manual
    3. Ensure that all client work is progressed expeditiously and that the client is regularly informed on progress and on costs.
    4. At all times, exercise high standards of client care in a professional and pleasant manner.
    5. Ensure the confidentiality and security of all documentation and information of the Firm and clients.
    6. Achieve agreed levels of billing and time recording.
    7. Act as in-house locum cover for holidays/absences
    8. In liaison with Cash Office, have overall responsibility for credit control on own matters.
    9. Comply with the SRA Principles, Standards and Regulations together with the Accounts Rules.
    10. Comply with CQS Standards.
    11. Maintain professional and clear communications with colleagues.
    12. Ensure good working relationships with external organisations, experts and other suppliers and contacts.
    13. Ensure that all letters, memo’s, attendance notes, other documents and all correspondence received from clients are maintained within the Proclaim case management system.
    14. Ensure that concluded matters are archived in a timely manner.
  2. Learning and Development
    1. Take responsibility for all your own learning and development requirements.
    2. In conjunction with the Firm, comply with relevant training requirements.
  3. Business Development
    1. Be active in promoting the services of the Practice and its image and ethos.
    2. Regularly contribute to articles for external publication and the Firm’s website and blog.
    3. Be active on LinkedIn to raise the profile of the Firm.
  4. To carry out any other duties and responsibilities that may be required.
