Admin Assistant Apprentice

 

Location: Our Penny Lane Office
Reporting to:
 Reception
Staff Responsibilities: None
Purpose of Job: Assisting in the efficient and professional operation of relevant department
Working Hours: Monday - Friday 9am - 5pm

Responsibilities

  • Routine administrative tasks
  • Sorting, scanning and filing post on a daily basis
  • Data entry onto IT system
  • storage and retrieval of files and other records
  • organisation & logging and delivery of internal and external (Royal Mail, DX & Deliveries) post
  • distribution of faxes and messages
  • Reception Duties
  • Answering telephone calls taking accurate details from callers over the phone.
  • Secretarial support for the departments, to include audio typing
  • Prioritising and organising the accurate relay of incoming information
  • Resolving problems and queries as they arise – referring to supervisor as appropriate
  • Maintaining confidentiality, presentation and professionalism in reception area and departments at all times
  • Compliance with all internal policies and procedures, as documented in Gregory Abrams Davidson Office Manual
  • Promote the vision and objectives of the Practice
  • Create, maintain and enhance productive working relationships
  • To undertake any relevant training and/or professional development as recommended by Supervisors
  • Any other tasks as reasonably requested by Supervisor

Client Support Assistant

 

Location: Our Mathew Street Office
Reporting to:
 Operations Manager
Staff Responsibilities: None
Purpose of Job: To assist with the efficient and professional operation of the Reception function.
Working Hours: Monday - Friday 9am - 5pm

Responsibilities

  • Greet clients and visitors to Reception warmly and maintain and welcoming atmosphere
  • Answer, screen and forward incoming telephone calls promptly and professionally
  • Manage meetings booked for the Boardroom and meeting rooms, if applicable
  • Maintain a tidy and organised Reception area
  • Scan incoming post to the case management system
  • Distribute incoming mail, as appropriate
  • Organisation of outgoing post as required (Royal Mail, DX & Deliveries)
  • Organising daily banking at the Company’s bank branch.
  • Photocopying
  • Dealing with stationery orders and putting orders away in the appropriate storage facility
  • Closure of matter files on the case management system and organising archiving to the off-site storage facility
  • Secretarial support for the departments, to include audio typing as and when necessary
  • Maintaining the staff signing in records and ensuring that they are passed to the COO on the 1st working day of each month, together with a summary
  • Maintaining confidentiality, presentation and professionalism in reception area and departments at all times
  • Compliance with all internal policies and procedures, as documented in Gregory Abrams Davidson Office Manual
  • Promote the vision and objectives of the Practice
  • Create, maintain and enhance productive working relationships
  • To undertake any relevant training and/or professional development as recommended by Supervisors
