Property Client Support Team Assistant

Based in Liverpool City Centre Office in Mathew Street.

Main Job Purpose:

To provide a total support service to the fee earners in the property department to enable them to operate at optimum efficiency, including but not limited to the main responsibilities given below. A high degree of self-management and initiative is expected. This role will not be based in one particular team but will assist where needed on a daily/weekly basis.

Duties and Responsibilities

Team 1 – Onboarding, Post Completion, and Closure of Files

  1. To administer the opening and closing of client files in accordance with the detailed procedures contained within the Office Procedures Manual
  2. To administer filing systems which will include the updating and monitoring of the fields on each computerised file whether or not requested by the Fee Earner
  3. To manage initial client AML procedures and complete those relevant parts of the Matter Risk Assessment on every newly opened file
  4. To carry out duties set by the fee earner in a professional and friendly manner in keeping with the Practice’s standards for service
  5. To deal with administrative property related tasks such as, but not limited to registrations and requisitions
  6. To update and maintain records on external portals such as LMS, Lender Exchange, HTB portal and any other portals in place now or in the future

Team 2 – Day to day support

  1. To prepare correspondence from the Winscribe digital dictation system.
  2. To follow and perform instructions from the Winscribe digital dictation system set by the Fee Earner
  3. To administer filing systems which will include the updating and monitoring of the fields on each computerised file whether or not requested by the Fee Earner
  4. To deal with administrative property related tasks such as, but not limited to, SDLT returns and MR01’s.

General Duties for Both Teams

  1. To attend clients on the telephone and to provide such communication in a professional and friendly manner in keeping with the Practice’s standards for client care and service.
  2. To carry out all duties within a timely manner and adhere to any time restraints given, where practicable.
  3. To adhere to the requirements of the CQS Standards and accreditation.
  4. To undertake any specific training when required, keeping to the timescale given and take responsibility for own self-development
  5. To ensure the confidentiality of all Practice and client documentation and information.
  6. To have the ability to be flexible and assume new responsibilities as and when required.
  7. To promote the Practice when and where necessary.
  8. To maintain professional standards at all times.
  9. To provide support to other members of the Property Client Support Teams as required.
  10. To provide guidance to junior members of the team.
  11. To follow any procedures set by the Team Leader
  12. To carry out any other duties and responsibilities that may be required by the Team Leaders, Directors, Head of Department or Chief Operating Officer.

Salary commensurate with experience.

Assistant to Head of Property (Liverpool)

Based in Liverpool City Centre Office in Mathew Street

Main Job Purpose:

  • To undertake fee earning work for property clients
  • To cover fee earning work for Head of Property (Liverpool) when necessary

Duties and Responsibilities:

Fee Earning Work

  • Manage all client work in accordance with procedures and quality standards contained within the Office Procedures Manual
  • Ensure that all client work is progressed expeditiously and that the client is regularly informed on progress and on costs.
  • At all times, exercise high standards of client care in a professional and pleasant manner.
  • Ensure the confidentiality and security of all documentation and information of the Firm and clients.
  • Achieve agreed levels of billing and time recording.
  • In liaison with Cash Office, have overall responsibility for credit control on own matters.
  • Comply with the SRA Principles, Standards and Regulations together with the Accounts Rules.
  • Comply with CQS Standards.
  • Maintain professional and clear communications with colleagues.
  • Ensure good working relationships with external organisations, experts and other suppliers and contacts.
  • Ensure that all letters, memo’s, attendance notes, other documents and all correspondence received from clients are maintained within the Proclaim case management system.
  • Ensure that concluded matters are archived in a timely manner.

Learning and Development

  • Take responsibility for all your own learning and development requirements.
  • In conjunction with the Firm, comply with relevant training requirements.

Business Development

  • Be active in promoting the services of the Practice and its image and ethos.
  • Regularly contribute to articles for external publication and the Firm’s website and blog.
  • Be active on LinkedIn to raise the profile of the Firm.
  • To carry out any other duties and responsibilities that may be required.

Main duties and responsibilities:

  • Ensuring compliance with SAR rules
  • Adherence to firm's internal and external reporting timetables and deadlines
  • Preparing and reviewing Client to Office Transfers and daily Bank Reconciliations
  • Posting of Client and Office Receipts
  • Processing of Client and Office Payments
  • Processing of Supplier Invoices
  • Ensuring information is recorded and filed correctly
  • Liaising with branch offices to answer any queries and provide support to Fee Earners
  • To maintain VAT records, prepare and submit quarterly VAT returns
  • Petty cash accounting
